Butterland is run by Greg Hatton Design and Construction Pty Ltd (ABN 43 620 889 723), 2-4 Tivey St, Newstead, Victoria 3462. In this policy, "we" and "us" means Butterland. This policy explains what personal information we collect, why we collect it, what we do with it, and how you can see or correct it. We handle personal information in line with the Privacy Act 1988 and the Australian Privacy Principles.

What we collect

  • Bookings and gift vouchers: your name, email address, phone number, and the details of your booking or voucher. Square processes the payment, and we never see or store your full card number.
  • Enquiries about weddings, private hire, workshops and events: your name, contact details, the date and numbers you have in mind, and anything else you choose to tell us.
  • Our newsletter: your email address, and your name if you give it.
  • Health information: if we ask a few health questions when you book, or you tell us about a health condition, pregnancy or access need so we can look after you.
  • Our website: information about your device and browser, your approximate location based on your IP address, the pages you visit and how you found us, collected through cookies (see below).

You can ask us a general question without giving your name. To book, buy a voucher or hire the venue, we need to know who you are.

How we collect it

Mostly from you, through our booking page, website forms, email, phone and in person. Some comes to us through Square and Squarespace when you book or sign up, and some through cookies when you use our website.

Why we collect it

  • to take and manage your booking, voucher or hire
  • to run your session safely
  • to reply to your enquiry
  • to send you our newsletter, if you've signed up for it
  • to understand how people use our website
  • to meet our legal obligations, such as keeping tax records.

We use your information for these reasons, or for a related reason you'd reasonably expect. We'll ask you first before using it for anything else, unless the law requires or allows it.

Health information

Health information is sensitive information under the Privacy Act, so we take extra care with it. We only collect it with your consent, and only when we need it to keep you safe in the heat or the water. We use it for your booking and your safety on the day, and for nothing else. We never use it for marketing, and we only share it with emergency services if you need help. It's stored in our booking system, only the people running your session can see it, and we delete it once we no longer need it.

Who we share it with

We use a small number of service providers to run Butterland, and they handle your information on our behalf:

  • Square, for bookings, payments and gift vouchers
  • Squarespace, which hosts our website, forms and newsletter signups
  • our email and form providers, which deliver our emails and enquiry replies.

We also share information with emergency services if someone needs help, with our professional advisers (such as our accountant) where they need it, and when the law requires us to. If you ask us to put you in touch with one of our preferred wedding suppliers, we'll pass your details on with your permission. We never sell your personal information.

Information stored overseas

Some of these providers store and process information outside Australia, including in the United States and in other countries where they or their own providers operate. Each has its own privacy policy explaining where and how it stores information.

Cookies

Cookies are small files your browser stores when you visit a website. Squarespace, which hosts our site, uses some so the site works, like remembering what's in your cart, and to give us totals of how many people visit and which pages they look at. You can block or delete cookies in your browser settings, and the site still works if you do.

Marketing emails

We only send our newsletter to people who've agreed to receive it, as the Spam Act 2003 requires. Every newsletter says it's from Butterland and has an unsubscribe link, and we act on unsubscribes within five working days. You'll still get confirmations and reminders about a booking you've made, because they're about your booking.

How we store and protect it

Your information is kept in our providers' systems and protected by their security and our passwords. We keep it only as long as we need it for the reasons above, or as long as the law requires (tax records, for example, are kept for five years), and then we delete or de-identify it. If a data breach is likely to cause you serious harm, we'll tell you and the Office of the Australian Information Commissioner.

Seeing and correcting your information

You can ask for a copy of the personal information we have about you, or ask us to correct it, by emailing hello@butterland.com.au. There's no charge, and we'll reply within 30 days. If we can't give you access, we'll explain why in writing.

Complaints

If you think we've mishandled your information, email hello@butterland.com.au or call 0411 624 712 and tell us what happened. We'll look into it and reply within 30 days. If you're unhappy with our answer, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
